ELSTER Prep for Freelancers: What to Gather Before You File
Document packet stewardship before you hit submit in ELSTER.
ELSTER goes smoother when the packet exists before you open the portal. Gather once, file once, keep the trail.
What belongs in the prep packet
- Outgoing invoices for the year (including unpaid ones, marked clearly)
- Expense receipts with readable dates and business purpose
- Bank statements for accounts used in the business
- Tax certificates / withheld amounts if clients deducted Steuer
- Prior Steuerbescheide / returns for continuity checks
- KV / social contributions statements if you deduct them
A simple tracker (spreadsheet or cases) beats a shoebox. Digital capture during the year beats a March scramble.
Separate tax-office noise from filing essentials
Group mail by sender: Finanzamt, Krankenkasse, other. Flag anything with a deadline or "Antwort erforderlich." ELSTER prep cares about income, expenses, and supporting Bescheide. Repair disputes with your landlord can wait in another case.
Highlight numbers that feed the return. Archive the rest with labels so it does not pollute the packet.
Checklist before you hit submit
- [ ] Income totals match invoice exports
- [ ] Expense categories have Belege
- [ ] Bank exports cover the full year
- [ ] Open Finanzamt questions are answered or parked with dates
- [ ] You reviewed calculations once sober, once again after a break
- [ ] Portal credentials and certificates work before the deadline night
Generic checklists on random websites do not help. Your vault does.
How inbox archaeology speeds ELSTER season
If notices and Belege already live in cases, export is assembly. If everything is still in Gmail search, you will rediscover old letters mid-filing and stall.
Bureauzilla keeps the packet warm year-round: receipts in, deadlines visible, human review before anything sensitive ships.
