How Long Should US Freelancers Keep Receipts and Records?

IRS limitation periods in plain English: 3 years baseline, longer windows for big understatements, and a vault habit that survives audit questions.

The IRS does not magically require “forever” for every coffee receipt. It requires records as long as they may matter for that return’s period of limitations. For freelancers, that means income proof, expense receipts, mileage logs, and filed-return copies.

The baseline windows

From How long should I keep records? and Topic no. 305:

Property basis records: keep until the limitation period expires for the year you dispose of the property. You need them for depreciation and for gain/loss on sale.

Many CPAs still recommend a practical seven-year vault for ordinary business receipts so the longer windows are covered without sorting exceptions every spring.

What “records” means day to day

Publication 583 is blunt: you need a method that clearly shows gross income and expenses, plus supporting documents (receipts, canceled checks, invoices). Digital copies are fine when they are complete and readable. A photo of a faded thermal receipt that cuts off the total is not a vault.

Freelancer system

  1. Capture receipts the day you spend. Phone photo into a year folder or case.
  2. Tag client vs overhead. Schedule C categories can wait; orphan files cannot.
  3. Keep 1099-NEC / 1099-K PDFs with the matching deposits.
  4. Store filed returns and confirmation numbers forever (or until your advisor says otherwise).
